CoreBiz IT Services & CRM
Create contact notes your team can use
Keep relationship context separate from guesses.

This guide uses CoreBiz IT Services & CRM as its starting point. It combines the documented project capabilities with practical suggestions for planning and reviewing your own work. The suggestions below are guidance, not a claim that the application automates every step.
Start with a concrete task
Keep relationship context separate from guesses. Record a concise reason for the next conversation and link the contact to the correct company.
Write for the colleague who was not in the conversation
A useful contact note lets another person understand the relationship without needing the original author to explain it. Record the reason for contact, the relevant context and the next step. A note such as spoke today leaves the reader with almost all the original questions.
Focus on information that affects the business interaction. If the customer asked for a proposal after an internal review, record that dependency and the expected timing. Avoid adding personal observations that do not help the team deliver the service or manage the relationship.
Use clear language and distinguish direct statements from assumptions. The customer said the decision will be reviewed on Friday is different from the customer will definitely approve on Friday. The distinction protects the next colleague from acting on confidence that the original conversation did not support.
Connect the person to the right company
A contact and a company answer different questions. The contact identifies the person participating in the conversation, while the company provides organizational context. Confirm the relationship rather than linking records solely because the names look familiar.
A person may change organizations or participate in more than one business context. Review important relationships when new information arrives. Keeping an old company link without checking it can cause a colleague to address a proposal or follow-up incorrectly.
Use consistent naming conventions that help search without making the record cumbersome. The team should agree how to distinguish companies with similar names and how to represent a person whose role is still uncertain. Leave an uncertainty visible instead of filling it with a guess.
Compare two fictional notes
Consider the note interested in website, call later. It does not identify the requested work, the reason for waiting or the intended next action. Another colleague might call immediately with a general sales message and repeat questions the customer already answered.
A more useful fictional note says the contact wants to replace an outdated service page, will send the existing URL after a team meeting, and expects a follow-up on Tuesday. It explains the context without becoming a transcript of every sentence spoken.
The better note does not claim a sale is certain or invent a budget. It preserves what matters for the next interaction and leaves unresolved details unresolved. That combination of specificity and restraint makes records more trustworthy.
Keep summaries and tasks connected
A note can explain context, but an actionable commitment also needs an owner and timing in the team's workflow. Do not assume that writing call next week in a long paragraph will reliably create the same visibility as a scheduled follow-up task.
When creating a task, make it refer to the relevant contact or opportunity where the application supports that relationship. The task should tell the colleague what outcome is needed, while the note provides enough background to approach the conversation intelligently.
After completing the task, update the relationship context if something changed. A customer who has postponed a project should not continue to appear as ready for an immediate proposal simply because the original note remains the most visible summary.
Review exports as separate copies of information
CSV export can be useful for an agreed reporting or cleanup task, but the exported file becomes another copy of the data. Consider which records and fields are needed before creating or sharing it. A broad export is not automatically the best starting point for every request.
Check that the recipient understands the file's purpose and date. An exported list can become outdated while the CRM continues to change. If somebody edits the file, do not assume those changes have been applied to the source records.
Use an appropriate storage and sharing process for customer information. Avoid attaching an entire contact list to an unrelated discussion simply because the export is convenient. The usefulness of a data feature does not remove the responsibility to use it deliberately.
Maintain notes through small, regular corrections
A short review of recently changed records can reveal ambiguous names, missing next steps and duplicate-looking contacts. Correct these issues while the context is still available. Months later, it may be difficult to determine which version reflects the actual conversation.
When two records appear to refer to the same person, compare the supporting details before taking action. A shared name is not enough. If the application does not provide the exact reconciliation workflow you need, do not improvise a destructive cleanup without a clear plan.
Good contact notes are not measured by their length. They are useful when the next person can identify the relevant relationship, understand what is known and act on an accurate next step. Keep that reader in mind each time you update the record.
What the project provides
Store customer details, relationship types, company links and notes. Search your records and export them as CSV.
Review the result before moving on
Before exporting a CSV, check that you need every included field. Share the file through an approved channel and avoid creating unnecessary copies of contact information.
Access and setup
Use admin / admin to explore an isolated one-hour demo with fictional records. For persistent business data, create your own email/password account. Owners can generate seven-day invitation links for teammates with matching account emails. Email recovery and verification, online payment links and AI writing require dedicated providers to be configured later.
Common questions
Should I copy a complete email into a contact note?
Usually begin with a concise factual summary and retain the original through the organization's appropriate communication process where needed. A full copied message can include signatures, unrelated recipients or private details that are unnecessary for the CRM task. Summarize the relevant request, commitment and next action without changing their meaning.
If exact wording is important to a decision, make that context clear and use the approved recordkeeping method. Avoid paraphrasing a conditional statement as a firm promise. The purpose of the note is to support an accurate relationship record, not to duplicate every communication channel inside a single field.
